Events/Office Coordinator – International Speedway Corporation (Daytona Beach, Fl)
Essential Duties and Responsibilities
The essential duties of this position include:
- Administrative support to all ISC Sales, Partnership Marketing & Media Team Members
- Organize calendar requests and meetings
- Create and execute expense reports, submit for approval thru WebNow
- Coordinate team travel (flight, hotel, rental car, credentials, directions)
- Real time expense tracking, as well as coding/billing
- Monthly expense forecast review/updates as well as reconciliation to monthly accounting report
- Manage Sales Prospect Dashboard updates for Daytona Rising Project and One Daytona
- Proposal/Presentation printing & binding
- General office assistance, including:
- Agendas and reports for Team Meetings
- Run weekly reports and report back to the Team (Anthem, SBJ, legal, accounting)
- Mail distribution and outgoing mail requests (UPS/FedEx)
- Order office supplies and manage office equipment (new needs/repair calls, etc.)
- Prepare/Coordinate forms & on-boarding binder for new employees
- Coordinate legal contracts for execution and distribution
- Prepare and send out emails via the ISC Partnership Marketing News email account
- Event related duties include:
- Request and administer Hard Cards, credentials, tickets, suite passes, and parking for internal needs as well as partner needs for all ISC events
- Assist with coordination, planning, execution and follow-up for ISC Summits
- Partner function preparation, planning and execution (B2B Events, Golf, Banquets, Dinners)
- ISC Prospecting Suite planning and hosting
- Assemble pre-event partner communication and send out accordingly
- Order event golf carts
- Database Management Support, including:
- Order entry and order management in ISC’s Inventory Management system for all multi-track deals. Work with ISC Sales & PM team members on a weekly basis to input the latest information about their forecast and in process orders into Inventory Management System
- Maintain and update lists within the CRM system (partner party, Holiday cards, special functions)
- Provide additional support, as needed, to Business Analyst
Minimum Qualifications
- Bachelor’s Degree and 1 to 2 years related experience preferred
- Must be well organized, detail oriented and have the ability to manage multiple projects concurrently
- Ideal candidate is results driven, creative and strategic thinker with excellent written and verbal communication skills
- Microsoft Office experience required (PowerPoint, Word, Excel, Outlook)
